Open the phone your business uses for WhatsApp and count the conversations showing two blue ticks with nothing underneath them. Every one of those was somebody who wanted to buy something.
It is almost never laziness. It is that three people can see the same inbox, each assumes one of the others has it, and a message landing at four on a Friday afternoon belongs to nobody by Monday. A shared inbox with no owner is worse than one person's phone, because at least the phone has somebody feeling guilty about it.
The fix is one conversation, not a purchase
Name one person per day. Not per week, not "whoever is free", not whoever happens to be holding the handset. Monday belongs to a named person, Tuesday to another, and the names are written somewhere the team can see rather than agreed in a meeting and forgotten by Thursday.
Then agree what counts as a reply. Reading the message is not replying. A reply is either the answer or a holding message that says when the answer is coming, and the holding message does most of the work here: somebody who has been told "I will have a price for you by tomorrow lunchtime" stops asking around.
Then decide what happens when that person is off. Illness and leave are where a rota quietly stops existing, and the enquiries that arrive during them are the ones nobody ever goes back to find.
What this is not
It is not software. You do not need a shared inbox tool, a CRM or an automation to do any of it, and buying one before the ownership question is settled gives you an unattended inbox with a monthly bill attached to it.
The point where a system does earn its place is after the rota is real and enquiries are still slipping. That usually means two things: an automatic acknowledgement so nobody sits in silence, and a nudge when a conversation has gone quiet for a couple of days. Both are worth having. Neither fixes an inbox that belongs to nobody.
Where we can help
If the wording is the part you keep getting stuck on, our WhatsApp message templates cover the six conversations that are hardest to word, including the holding message above. If enquiries are going missing and you are not sure at which point, the Lead Leak Checklist walks through the six stages between a visitor and a customer.
When the rota is working and the volume has outgrown it, that is AI and business systems work, and it is worth having the conversation only once the rota exists.
